We treat your privacy seriously. This Privacy Policy describes how we use your personal data and applies to our website www.5palmtrees.com, the ("Site"').

The Site is owned and operated by Steve and Julia Brown trading as '5 Palm Trees' of 38 Alexandra Avenue, Camberley, Surrey. GU15 3BQ. UK. +44 777 210 9428

The term "users" or "you" refers to users of the Site for the use of renting our property as a holiday rental.

We use any information collected about you in accordance with this policy only.

Who processes your personal data, and where?

Your personal data (personal information) - data that identifies you, or from which you are identifiable - will be collected, processed, stored and used by us. With the single exception of incorporating the 'Google Translate' service for those users who wish to translate our web site into a language other than English (and which has its own policy), we do share your personal data with any other website or company.

What information we collect

At various times you may give your personal data to us. For example, in order to process a booking request, we may need to know the following: your name, telephone number and e-mail address. You may also give personal data to us at other times, such as when completing a booking.

If you opt to pay by credit card, your credit card information is never sent to us directly, but to a card processing company who conform to the mandatory Payment Card Industry security requirements. We receive an anonymised token which we use to actually bill your card with.

We also collect and store IP addresses, browser details, the time of accessing the website in the system log.

How we use your personal data

Our primary purpose in collecting your personal data is to provide you with the services you requested while using the Site. You agree that we may use for personal data for the following purposes:

  • For the services or help you request;
  • To send other messages that are integral to the service we provide on the Site;
  • To customize and improve our services and content;
  • To compare information for accuracy;
  • To prevent potentially illegal, unlawful or harmful activity;

We do not collate statistics about site traffic, sales or other commercial information and we do not pass details onto third parties.

How do we protect your personal information that we have?

We take appropriate technical measures to guard against unauthorised or unlawful processing of your personal data. While no system is completely secure, we believe the measures implemented by the Site adhere to industry 'best practice' and reduce our vulnerability to security problems to a level appropriate to the type of data involved.

We have security measures in place to protect our user database and access to this database is restricted internally. However, it remains each user's responsibility:

  • To protect against unauthorized access to your use of the Site;
  • To maintain good internet security. For example if your email account is compromised it could be used to ask us to supply details of a booking you have made with us.

What are Cookies and why do we use them?

A "cookie" is a small file placed on your hard drive by certain of our web pages. We only use cookies to help us with web page flow. You may delete and block all cookies from this Site, but parts of the site will not work. We want to be open about our cookie use.

Refund Policy

A non-refundable booking fee of £100 is payable within three days of initial booking to confirm your requested dates unless otherwise agreed in writing. The balance to be paid six weeks prior to arrival. If the start of your stay is less than six weeks away at time of booking, then the full amount is required to be paid immediately.

A £200 security deposit is required and must be with us no later than 7 days prior to your arrival. This will normally be refunded within 7 days after the end of your stay minus any deductions for serious breakages or excessive cleaning. Any such deduction would be very unusual.

Allowing extra people you have not paid for to stay in the apartment without express written permission from us is strictly forbidden.

All equipment and features are provided at no cost to you and are maintained to very high standards. It's a fact of life that sometimes things break beyond our reasonable control and such breakage or failure shall not cause a refund of any monies paid. We will of course review any such breakage or failure on a case-by-case basis.

Cancellation Policy

Cancelling your booking with more than 6 weeks to go until your stay will result in only the loss of the non-refundable booking fee (£100). Cancelling within 6 weeks of your stay will result in the loss of all monies whether paid in full or not. We may be able to provide a partial refund at our sole discretion.

Failure to abide by these Terms and conditions may result in the termination of your booking without refund.
